This policy explains how Stantelligence AI Consulting ("we", "us"), which runs Stantelligence AI Consulting, handles personal information collected through this website. We are based in British Columbia, Canada, and we handle personal information in line with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia's Personal Information Protection Act (PIPA).

Who we are

Stantelligence AI Consulting is an independent consultancy that plans and builds automation, IT and software for small and medium businesses. You can reach us about anything in this policy at or through the contact page.

What we collect and why

You can read this site without telling us who you are. We only collect personal information when you send it to us through one of these forms:

• Contact form. Your name, email address and message, plus anything optional you add: company, phone number, company size and the service you are interested in. We use it to reply to you.

• Booking a call or joining the waitlist. Your name, email address, optional company and message, the service you picked, the time you chose and your time zone. We use it to hold the call, email you a calendar invitation, send reminders before the call, and let you reschedule or cancel through a private link.

• Resource downloads. Your name, email address and optional company, so we can give you the download. If you tick the box asking for occasional notes, we record that you agreed, and you can withdraw at any time by asking us.

• Free tool reports. The SaaS cost calculator and the IT readiness scorecard work in your browser and send us nothing while you use them. If you ask for the emailed report, we collect your name, email address, optional company and the answers you gave the tool, and use them to produce your report and send you a private link to it.

With every form we also record some technical details: the page you sent it from, the site that referred you, any campaign tags in the link you arrived on (such as utm_source), your IP address and your browser's user agent. We use these to protect the forms from spam and abuse and to understand which pages and campaigns bring people to us.

Clients with a project get an account on our client portal. For those accounts we hold your name, email address, a securely hashed password, and optionally your company, job title, phone number and photo, along with the project updates and files we share with you and when you last signed in. We use this to run the project and to email you when something changes.

We use personal information only for the purposes above, or for a new purpose we tell you about and, where required, ask you to agree to. We do not sell it.

Who else sees it

We share personal information only with service providers who help us run the site, and only as much as each needs:

• CleanTalk, our spam-filtering service. When you submit a form, it receives your IP address, email address, name, message, browser user agent, the referring page and how long the form was open, and tells us whether the submission looks like spam. Pages that carry a form also load CleanTalk's bot detection script, described below.

• Our web hosting and email providers, which store the site's data and deliver the emails it sends you and us.

Some of these providers may store or process information outside British Columbia or outside Canada, where it may be accessible to authorities under local law. We may also disclose information when the law requires it.

CleanTalk's bot detection script

Pages that carry a form load a small script from CleanTalk whose job is to tell a person filling in a form apart from an automated one. While you are on such a page it observes how the page is used: pointer movement and where clicks land, scrolling, which kinds of keys have been pressed (such as the space bar), how quickly you type and whether text was pasted rather than typed, which fields you focus and the names and labels those fields carry, your screen size, your browser's user agent and the page that referred you, and technical checks such as whether cookies and WebGL are available and whether the browser appears to be an ordinary one rather than an automated tool.

It does not record the words you type. What it measures is the manner of the typing, not its content. It produces a token that is submitted with the form so that CleanTalk can match its spam check to what the script saw, and without it every submission looks alike to them.

The script runs only on pages that carry a form, is not loaded anywhere else on the site, and is not loaded at all if we turn spam filtering off. If you block it, your form still sends and we still reply; the submission is simply checked with less information.

Other third parties

Apart from that script, the site loads its fonts from our own server rather than a third-party font service. Links to other sites, such as LinkedIn or YouTube, are ordinary links: those sites only receive information about you if you follow them. If we add a website analytics tool, we will name it here before it runs.

Cookies and browser storage

• A session cookie keeps the site working while you use it, including remembering the campaign tags of the link you arrived on until you send a form.

• A security cookie (XSRF-TOKEN) protects forms against cross-site request forgery.

• A time zone cookie (booking_tz) remembers the time zone the booking page shows times in, for up to a year.

• Your theme choice, light or dark, is kept in your browser's local storage and never sent to us.

• CleanTalk's bot detection script, on pages that carry a form, keeps what it has observed in your browser's local storage while it works, and briefly writes a test cookie to find out whether cookies are enabled at all.

These are needed for the site and its spam protection to work, and we do not use advertising or cross-site tracking cookies.

How long we keep it

We keep enquiries, bookings and report requests for as long as we need them to respond to you, to follow up on the conversation, and for our business and tax records. Private report links stop working after 30 days, and download links after at most 7 days. Client portal accounts and project records are kept for the life of the working relationship and for our records afterwards. When we no longer need personal information, we delete it or make it anonymous. You can ask us to delete yours sooner.

How we protect it

The site is served over an encrypted connection, passwords are stored only as hashes, gated downloads and reports are served through signed, expiring links, and only we can reach the admin area. No system is perfectly secure, but we take reasonable steps for the sensitivity of what we hold.

Your rights

You can ask to see the personal information we hold about you, ask us to correct it, or withdraw your consent to our using it, subject to legal and contractual limits. Email or use the contact page. We will answer within 30 days and may need to confirm who you are first.

Changes to this policy

We will update this page when what we collect or how we use it changes, and change the date at the top. If a change is significant, we will say so on the site or tell you directly.
